INTERN - PROGRAM SUPPORT - BASED IN NAIROBI - REF: HR003/KE (Three months internship program)



Organization brief

Humanitarian Initiative Just Relief Aid (HIJRA) is a humanitarian and development organization that aims to positively contribute towards improving the living standards and conditions of those adversely affected by disasters and conflict in the East and Horn of Africa. Our work involves provision of clean and accessible water supply, sanitation facilities, promotion of health/hygiene, food security and education programs. HIJRA is dedicated and committed to reconstruction of community livelihoods through its direct contacts with the communities.

Position background


The Intern will work with the department team in, but not limited to source data recording, analysis, and facilitation of procurement processes. S/he actively maintain the inventory and assets register and ensure safe custody of the financial documents for easy reference and donor reporting. S/he will be expected to learn on the job and deliver basic financial management assignments as directed.

Specific tasks
  1. Accurately and timely prepare the payment vouchers and attach other necessary documents before posting the transactions to the General Ledger
  2. Maintain stationary supply records and as well as other inventory supply and coordinate deliveries
  3. Liaise with the Administrative Clerk to confirm the placement of orders for the office refreshments and other utilities including transport requests processing and proper documentation is done on a timely manner.
  4. Maintain electronic and hard copy filing system and retrieve documents from filing system for projects.
  5. Maintain an accurate record of all the transactions for the projects at any given time and take responsibility for the completeness and availability of the documents for that project
  6. Reconcile designated Bank accounts in Nairobi on monthly basis and submit the reconciled reports to the Project Accountant by the 4th of the subsequent month.
  7. Stamp all the payment vouchers and invoices “paid” to avoid double posting.

Qualifications & Requirements

Essential


• Diploma in Accounting or Business Administration or on-going training in Business Administration or Bachelor of Commerce Degree • Certificate in Certified Public Accountant Part 1 or its equivalent

Desirable • Excellent both written and oral skills • A good planner • A team player • A person who can keep confidentiality
