AMREF-Communications Intern

Position: Intern - Communications

Location: Directorate of Communications, AMREF Headquarters

Duration: Up to 6 months starting September 2013

Time: The work will be full time with an expected amount of 37.5hours per week

The incumbent will work under the direct supervision and guidance of the Writing Manager

Responsibilities

  • Prepare human interest and feature stories, news articles, press releases etc 
  • Record, transcribe and edit interviews
  • Writing and helping brainstorm stories for our various AMREF channels including website, newsletter, global health days etc
  • Assist in the production, editing and proofreading of documents including layout
  • Assist in the preparation of the external newsletter aimed at informing our stakeholders about new developments, our activities and impact
  • Write press releases, media alerts, blogs, web articles
  • Provide content for updating AMREF profiles on social networks (Facebook, Twitter etc) on project activities and events
  • Provide support to the Stand Up for African Mothers campaign- collection of stories,
  • Brainstorming marketing & creative ideas
  • Provide support in organisation and staffing of events
  • Track and document media coverage on a daily basis for AMREF globally
  • General assistance to the Communications Directorate

Qualifications and competencies

  • Degree in Communications
  • Experience of writing articles (such as news stories, features, blogs etc) preferably in health or related areas
  • Strong oral and written communication skills including ability to source and sense good human interest pieces
  • Remains calm, in control and good humored even under pressure;
  • Demonstrates openness to change and ability to manage complexities
  • Ability to maintain confidentiality
  • Ability to think and work logically and work precisely with attention to detail
  • Team player
  • Ability to work within deadlines

Intern - AMREF Virtual Training School

Position: Intern (Administration)

Location: AMREF Virtual Training School (AVTS), Directorate of Capacity Building

Duration: Up to 6 months starting September 2013

Time: The work will be full time with an expected amount of 37.5hours per week

Position Overview:

Under the direct supervision and guidance of the AVTS Administrator, the intern will provide hands on learning experience directly related to responsibilities that transfer to skills needed in a full-time position. The opportunity is available to develop, participate and learn roles and functions within the AVTS Programme, learning from the unit staff members.

Responsibilities:
The intern will be exposed to a number of responsibilities held by the AVTS Administrator including:
  • Day to day office administration
  • Customer service for the students, visitors and other AVTS clients and response to queries to with the guidance from the administrator’s
  • Answering telephones and giving information to callers, taking messages or transferring calls to appropriate individuals
  • Receiving and dispatching correspondence
  • Completing student forms in accordance with foundation procedures
  • Preparing and distributing materials required for student admissions
  • Distributing learning materials
  • Work with the administrator in Coordinating the execution of events under the office including meetings, workshops and other work-related gatherings
  • Maintaining the office inventory and stationary supplies and utility services maintenance
  • Ensuring students’ files have up to date documentation
  • Marketing and distributing course brochures via available applicable means

A work plan with achievements for the duration of the Internship and learning opportunities will be agreed upon.

AMREF- eCommunications & Videography Intern

Position: eCommunications & Videography Intern

Location: Directorate of Communications, AMREF Headquarters

Duration: Up to 6 months starting October 2013

Time: The work will be full time with an expected amount of 37.5hours per week

Under the direct supervision and guidance of the Writing Manager and Graphic Designer, the intern will provide support to e-communications and video activities for AMREF which includes updating of the AMREF websites, social media platforms and production/editing of AMREF videos. The internship will provide the opportunity to participate in as well as learn from and contribute to the various functions of the unit.

Key responsibilities

  • Updating and maintaining of AMREF’s eCommunication tools – the websites, newsletters including gathering and writing of required content 
  • Daily updates with engaging, interactive, posts on social media platforms, including, but not limited to: Twitter, Facebook, LinkedIn
  • Push AMREF’s Stand Up for African Mothers campaign through online and social media sites
  • Monitor news, peer organisations, and international events relevant to AMREF’s area of work in health
  • Identify opportunities for AMREF to raise its voice and visibility through online and traditional platforms
  • Identify AMREF’s activities, human interest stories, events etc to identify content for social media
  • Assist in photography, filming and production of documentaries, clips, for AMREF including editing of the products
  • Support the Communications Team in other areas, as needed

Qualifications and competencies

  • Degree in Communications
  • Diploma in website development or related field an added advantage
  • Hands on experience in website development and management including updating and maintaining of eCommunication tools
  • Strong awareness and experience of e-communications and social media platforms
  • Developing, optimising and incorporating multimedia content (eg video, webcasts and blogs) into websites
  • Photography skills and experience in filming and confidence using an editing programme, preferably Final Cut Pro. Ability to use Adobe Creative Suite applications
  • Strong writing skills including ability to source and sense good human interest pieces
  • Ability to maintain confidentiality
  • Ability to think and work logically and work precisely with attention to detail

Position Overview:

Under the direct supervision and guidance of the Library Administrator, the intern will provide hands on learning experience directly related to responsibilities that transfer to skills needed in a full-time position. The opportunity is available to develop, participate and learn roles and functions within the Resource Centre unit, learning from the unit staff members.

Responsibilities:

The intern will be exposed to a number of responsibilities held by the Library Administrator including:

Customer Relations
  • Providing comprehensive reference and information service to staff and external users
  • Ensuring timely and positive feedback to issues and queries to all users
  • Orientation of library users so as to familiarize them with the resource centre activities

Membership Management;

  • Registration and processing of resource centre users and memberships in the database
  • Providing statistics on membership and usage registered on weekly and monthly basis
Library materials processing
  • Stamping and accessioning of materials
  • Classifying and cataloguing of books,
  • Abstracting and bar-coding

Circulation services;
  • Performing activities related to the receiving and lending of library materials on the automated systems
  • Ensuring that all library materials are sensitized for security purposes
  • Maintaining and updating of loans records to ensure efficiency
  • Working on reminders of any overdue materials
  • Ensuring that books reservations are made as per the users’ requests
  • Shelving and displaying of library materials

Acquisition of Stationery
Assist in the collection of stationery from the stores

Under the direct supervision and guidance of the Human Resources Officer the intern will provide hands on learning experience directly related to responsibilities that transfer to skills needed in a full-time position. The opportunity is available to develop, participate and learn roles and functions within the short courses unit, learning from the unit and directorate’s staff members.

Tasks and responsibilities

  1. Providing administrative support to the recruitment process support to HQ functions in a timely, effective and cost effective manner. This includes receiving approved requisition for employment form and Job Description or Terms of Reference, drafting vacancy announcements, supporting logistics in interview panels and technical assessments, etc.
  2. Maintaining an efficient, effective and accurate filling system for Corporate HR
  3. Ensuring timely availability of up to date special passes for international consultants and volunteers assigned to HQ
  4. Customer service provision as the first point of contact to corporate HR internal and external clients
  5. Providing timely and efficient administrative support to corporate HR office
  6. Provide support in setting up work flow processes and systems relating to recruitment and selection of consultancy and temporary staff.
