Description: Main Volunteering duties
Office Management:
Ensuring the office space is clean and tidy, and in following health and safety guidelines; liaising with the Building Management team on relevant issues; ensure office supply cabinets are stocked, ordering new supplies when necessary; oversee equipment maintenance and office repairs.
Personnel:
Assisting with Personnel issues if requested by Directors: issue all new personnel with appropriate forms; organise inductions of all new staff; deal with staff leavers appropriately and liaise with the Finance Assistant to ensure P45 forms are issued where necessary; maintain sick leave, annual leave and TOIL records for all staff; assist in the recruitment process for the organisation and monitoring the Jobs@ email account, posting advertisements, receiving applications, and arranging interviews.
General Administration Duties:
- Daily post duties, arranging couriers and dealing with deliveries;
- answering incoming calls and enquiries in an efficient and courteous manner;
- booking training courses as and when necessary;
- attendance of relevant training,
- monitoring the Info@ email account,
- responding promptly and accurately to enquiries and;
- other ad hoc duties.
Person Specification Essential:
- Experience of working in a small office environment.
- Knowledge and interest of Action on Armed Violence’s values and programme work.
- Ability to multi-task and work under pressure.
- Excellent time management and organisation skills; ability to work under minimal supervision.
- Excellent written and verbal communication skills; fluency in English.
- Computer literate; proficient in all MS packages including Word and Excel.
Desirable:
Experience of working in charity; knowledge of an international development NGO.
